GUBI can upholster selected products in your own material (COM) or leather (COL), subject to testing and approval. COM/COL is available for residential, hospitality, and contract projects.
To order swatches or samples of GUBI materials, see Ordering material and finish samples — Professional customer.
Your three upholstery paths
Which path applies depends on where your fabric or leather comes from - not on the product you are ordering. Any supplier can be used.
| Path | Testing fee and sample | Price | Best for |
|---|---|---|---|
| Recommended by GUBI | No testing fee - already part of GUBI's curated assortment. | See the GUBI price list. | The fastest path, with simplified ordering. |
| Non-recommended, from a GUBI-preferred vendor | USD 120. GUBI's production site sources the test sample from the vendor. Processing time: 2-3 weeks. | GUBI informs you. | A wider range of collections, with GUBI responsible for sourcing. |
| COM/COL - your own material or leather | USD 90. You ship the test sample to GUBI's production site. Processing time: 5-7 days from when the sample is received. | Price group A. | Your own material, from any supplier. |
Step by step
- Submit your inquiry. Our order team (order@gubi.com) starts the process; they need the specific product, your textile or leather specification (including a link to the supplier), the quantity, and the project scope and name. GUBI tells you whether a suitability test is needed.
- Ship your sample. GUBI sends you shipping instructions and a shipping label, which you pass on to your shipper or fabric supplier. The sample must be 100 × 100 cm (40 × 40 in).
- Testing and review. GUBI's production site reviews the material's suitability. GUBI then sends you the Suitability Approval or refusal, and the invoice for the testing fee.
- Place your PO with GUBI and calculate the amount of material. Send your purchase order to GUBI. Use the consumption figures to calculate how much material you need - see Fabric and leather consumption per product (COM/COL) — Professional customer; the Upholstery Consumption sheet also comes with your Order Confirmation. Then place your purchase order with your fabric supplier.
- Ship your material. GUBI sends you shipping instructions and a shipping label, which you pass on to your shipper or fabric supplier.
- Production and delivery. Once GUBI confirms your material has arrived, your order goes into production. You receive a confirmed ship date once production begins.
Lead times
Counted from confirmed arrival of your material at the production site:
- Europe production: 6 weeks.
- US production: 6 weeks.
- EXW DSV orders: 1 extra week until ready for pick-up.
- US DDP shipments: 10 weeks in total, including transit.
Large projects may take longer. If you have a strict delivery schedule, tell our order team (order@gubi.com) when you place the order.
Shipping your sample and fabric roll
- DDP only - for both test samples and fabric rolls, to the exact delivery address on the GUBI shipping label. Never send material to GUBI HQ.
- The GUBI shipping label goes on twice: one on the envelope, and one inside, attached to the fabric roll.
- One fabric, one PO, one roll. Never consolidate multiple fabrics or purchase orders onto a single roll - the production line cannot identify the order if you do.
- If the material is patterned or lined, or needs specific upholstery instructions, include these with your inquiry and on the shipping label. GUBI may ask for extra fabric so the upholstery team can follow them.
- GUBI sends a pre-filled label for each roll. You complete two fields: the amount of fabric sent, and the fabric supplier contact (name and phone).
- Our order team (order@gubi.com) needs the shipper's contact details and the tracking number once the material is dispatched.
Check with your fabric supplier that all of the above is followed before the roll leaves their dock. If it is not, the production lead time and ship date will be affected.
Shipping from outside the European Union: the commercial invoice must include all the information on the GUBI shipping label. If the material is not shipped DDP, or the label information is missing, it can get stuck in customs and delay the order by 1-2 weeks. You may then be charged storage fees, handling fees, taxes, and possibly the cost of returning the roll.
Responsibilities and claims
Fire compliance is yours. GUBI upholstery is not interlined. Make sure your material meets the fire requirements of the market it is going to (for example BS 5852 in the UK or CAL 117 in the US).
| Claims GUBI accepts | Claims GUBI does not accept |
|---|---|
| Manufacturing defects | Natural textile characteristics |
| Upholstery craftsmanship issues | Fabric wear from normal use |
| Failures of an approved textile application | Improper textile specification |
| Freight damage reported within the required timeframe (not for EXW orders) - see My order arrived damaged or incomplete — Professional customer | Use of unapproved material, or variations inherent to customer-supplied material |
GUBI is not responsible for:
- checking the quality or quantity of your material on arrival - the production line checks it only when the material is needed for your order;
- delays caused by faulty or late material, or material in the wrong quantity.
Product warranty does not extend to COM/COL materials. Surplus material and faulty material are not returned. COM/COL orders are made to order and non-refundable.
If your material fails testing
GUBI tells you why and, where possible, suggests an alternative. The testing fee applies.
Tracking your order
You receive a confirmed ship date once production begins. For a status update in between, our order team (order@gubi.com) can help; they need your order number.
Questions about a specific project? Our order team (order@gubi.com) answers them.
Testing fees are shown in US dollars. For the amount in another currency, our order team (order@gubi.com) confirms it with your quotation.
